Job Description
The Commercial Assistant Property Manager supports the Property Manager in the comprehensive administrative, financial, and operational management of commercial office buildings in Midtown Manhattan. This role involves managing invoice processing, contract administration, tenant relations, physical inspections, monthly reporting, and staff supervision. The Assistant Property Manager also assists with budgeting, lease administration, and rent collection to ensure smooth building operations and strong tenant satisfaction.
Responsibilities
- Process and code invoices for Property Manager review and approval
- Assist in preparing annual operating budgets and variance reports
- Track and report CapEx updates, flagging variances to the Property Manager
- Manage accounts payable workflow and purchase order administration
- Oversee rent collection monitoring and follow up on arrears, escalating issues as needed
- Serve as first point of contact for tenant operational inquiries and resolve issues
- Manage building work order system ensuring timely responses to tenant requests
- Coordinate tenant move-ins and move-outs and support tenant relations programs
- Maintain tenant contact information and communication logs, drafting routine communications
- Conduct regular physical inspections of buildings and common areas, documenting deficiencies
- Monitor building systems and contractor performance, escalating as required
- Maintain purchase order administration, correspondence files, and payroll records
- Travel between buildings to manage properties and communicate with tenants
Required Qualifications
- Bachelor’s degree in business or related field
- 3-5 years of NYC commercial property management experience
- Strong proficiency in Excel and Microsoft Office
- Excellent customer service and tenant relationship skills with a hospitality focus
- Strong interpersonal, oral, and written communication skills
- Highly organized, motivated self-starter capable of managing pressure and deadlines
- Sound understanding of leases, financial statements, and service agreements
- Strong analytical and problem-solving abilities; ability to work independently
Preferred Qualifications
- Proficiency in Yardi and Angus software
- Knowledge of building mechanical systems and construction management
