Position Summary:
We are seeking a highly organized and detail oriented Accounting & Operations Coordinator to join our finance and operating team at a fast-growing property management company in Los Angeles. In this dual function role, you will ensure the accuracy of financial records while maintaining efficient daily office operations. The ideal candidate is a skilled multi-tasker who is comfortable handling sensitive financial data and communicating with both vendors and clients. This role serves as a foundational link between financial operations and resident services. You will be responsible for accurate bookkeeping—including rent processing and vendor payments—while acting as the primary point of contact for administrative inquiries from tenants and vendor, Our main office is based out of West Los Angeles, and this will be a flexible hybrid arrangement.
Qualifications:
- Education: Associate degree in Accounting or Finance is preferred.
- Software: Proficiency in Microsoft Office (specifically Excel) and experience with accounting software like QuickBooks.
- Communication: Strong professional verbal and written communication skills for client and vendor interactions.
- Ethics: Demonstrated ability to maintain confidentiality and handle sensitive financial information with integrity.
- Detail-oriented with exceptional organizational skills and the ability to prioritize tasks and meet deadlines.
- Proactive and forward-thinking accountant to help us innovate our finance function. This role will utilize AI-powered tools to automate routine tasks, increase accuracy, and accelerate our month-end close
Core Accounting Duties:
- Processing accounts payable (AP) and accounts receivable (AR): process rent collections, update tenant ledgers, assist with delinquent rents or collections. Review and process property related invoices for payment, reconcile vendor accounts, and follow up on overdue customer payments.
- Reconciling bank statements and credit card receipts. Perform monthly bank and credit card reconciliations to ensure general ledger accuracy.
- Posting financial transactions to Appfolio, our property management software. Assist in preparing financial statements,
- Preparing deposits and general ledger postings.
Office/Administrative Duties:
- Office Support: Respond to general emails, manage ordering of office supplies, and greet visitors including tenants.
- Tenant Relations: Serve as one of the points of contact for residents and applicants; respond to inquiries.
- Vendor Communication: Communicate with contractors and third-party professionals to coordinate repairs or service agreements.
- Document Management: Maintain organized electronic filing systems for all financial and office records. Includes filing, scanning, and organizing digital or physical documents
- Processing mail: Pick up and process incoming and outgoing mail and manage delivery to proper staff members.
